Booking appointments with an AI receptionist: three setups compared

How an AI receptionist can book into your calendar, send your booking link, or take requests for a person to confirm, and how to choose between them.

Booking is where a receptionist earns its keep

Answering questions saves time. A booked appointment is the outcome the customer came for, and the one you can measure.

How far an AI receptionist can take a booking depends on how it is connected to your diary. There are three setups, and most businesses fit clearly into one of them.

Three setups

SetupWhat the customer getsWhat you needBest when
Connected schedulerA real free time, booked in the conversationA calendar Helm connects to: Cal.comYou want bookings made without staff involvement
Booking linkA link to the right page of your booking siteAny online booking pageYou already use a salon or clinic booking tool and want to keep it
Request to confirmA request for a preferred day and time, confirmed by a personNothing extraBookings need judgement, or you have no online diary

You can change setup later without starting again. You can begin with requests, learn which services book cleanly, and connect a scheduler once you trust it.

Set up your services first

Whatever the setup, the receptionist needs to know what can be booked and how. For each service, write down:

  • Its length, and any buffer you need after it.
  • The minimum notice you need, and how far ahead customers may book.
  • Whether it can be booked directly, or always needs a person to confirm.
  • For a booking link, the page on your booking site for that service.

A consultation that needs a clinician to review the case first should stay request-only even if everything else books directly. That is a normal setup, not a workaround.

Ask qualifying questions before the booking, not after

The best time to ask whether it is a first visit, whether the customer has a referral, or what their budget is, is before the time is held. Attach the questions to the services that need them, and the receptionist asks them in the course of the conversation. In Helm's request mode, a request is not filed until the required answers are in.

Conditions are different from questions. A patch test before a colour appointment, a deposit, or arriving early for paperwork should be mentioned in the reply, not used as a gate. In Helm's request mode, a condition never holds a request back: the request is filed and the condition mentioned.

Rules that prevent double bookings and awkward promises

  • Offer only times the scheduler says are free, after your notice and buffer rules.
  • Repeat the service, time and details back, and ask the customer to confirm before booking. Helm does this before every booking it makes.
  • In request mode, say that a person will confirm. Never say "you're booked".
  • In link mode, send the link and say the booking happens there. Never say the appointment is made.
  • Take a name and one way to reach the customer before filing anything.

These sound obvious. They are also the most common ways automated booking goes wrong, which is why they belong in the product's rules rather than in the hope that it behaves.

Changes and cancellations

Treat reschedules and cancellations like bookings. With a connected scheduler, Helm can move or cancel an appointment it can tie to that customer, and the customer confirms the change. Otherwise the change becomes a request for your team, and the customer is told a person will confirm.

Put your cancellation policy in the receptionist's information, so it can explain the rule when someone cancels late.

Which setup to start with

  1. No online diary yet: start with requests. You still get complete enquiries, with the service and preferred time filled in.
  2. Happy with your current booking tool: use booking-link mode, so the booking stays in the tool you already run.
  3. Want bookings made without anyone touching them: connect a scheduler. Helm books directly through Cal.com.

FAQ

Frequently asked questions

Which booking tools does Helm connect to?

Helm books directly through a connected Cal.com account. With any other booking tool, such as Fresha, Booksy or Acuity, Helm can send your booking link instead.

Can an AI receptionist double-book me?

It should not, if it only offers times your scheduler reports as free and books through it. Double bookings usually come from receptionists that promise times without checking a live diary.

What if a customer wants a time that is not available?

A good receptionist offers the nearest free times, or takes a request with the customer's preferred day and part of the day for a person to look at.
